Heartfelt Therapy is committed to providing a safe, confidential and professional service for children, young people and families.


This page explains how I work, how information is protected, and the steps taken to ensure the wellbeing of every child in my care.

Fee Structure & other info

Service Structure: (As outlined in the client confirmation letter)

  • x12 sessions
  • 30 minutes each
  • Same day, time, 'place' each week

 

Fees: BACS or payment plans available through the GoCardless® portal

  • £30 per session (paid before each session). 
  • Three payments of £120 per month for 3 months or £360 for the full 12 week programme
  • Strengths and Difficulties Questionnaire (SDQ) — highlights both strengths and areas where support may help. It isn’t a diagnosis or a test; it helps to note progress over time and better understand what additional support a child may need.
  • Completed before and after the 12-week programme.

Note: If you have paid (the first instalment £120 or in full £360) and the SDQ findings show that Drawing & Talking would not be beneficial, I guarantee a 100% refund.

 

Cancellations & Missed Sessions:

  • At least 24 hours’ notice is required for cancellations.
  • Efforts will be made to reschedule where possible.
  • Sessions cancelled without notice will still be charged.
  • Only one of the cancelled sessions can be carried over into the 13th week.

 

Use of Drawings:

  • Drawings remain confidential and are stored securely until the programme ends. 
  • Drawings are then returned to the child/client.

 

Working With Other Services:

Drawing & Talking is offered while waiting for CAMHS or other therapeutic services. It is not delivered at the same time as other therapy, as too many interventions can overwhelm or confuse a child’s emotional processing. If a child starts another therapeutic programme, Drawing & Talking therapy will pause and if agreed by both Heartfelt Therapy and the caregiver, sessions will end and any further session costs paid in advance will be reimbursed. Drawings are then returned to the child.

 

My safeguarding commitments include:

  • Maintaining up-to-date safeguarding training
  • Following clear procedures if a child’s safety is at risk
  • Recording and storing concerns securely
  • Communicating promptly with designated safeguarding leads when necessary
  • Completing risk assessments for venues, including schools and community spaces, to ensure safe working environment.

 

Confidentiality & When It May Need to Be Broken:

Heartfelt Therapy offers children a safe, private space.
What a child/young person shares in sessions remains confidential unless I believe:

  • They are at risk of harm
  • Someone else may be at risk
  • I am required to share information by law.

In these circumstances, I will follow safeguarding procedures and contact the appropriate professional (DSL, GP, social care, emergency services), and where appropriate, inform parents or carers.

 

DBS & Professional Insurance:

  • DBS certificate available upon request
  • I hold full professional indemnity and public liability insurance for the Heartfelt Therapy practice.

 

Data Protection & GDPR Compliance

Data is kept only for as long as necessary for safeguarding, legal or administrative purposes. Paper notes and drawings are locked away safely between sessions. Data is kept for the following reasons:

  • To arrange and deliver sessions
  • To keep children safe
  • To communicate with parents and schools
  • To meet safeguarding and record-keeping obligations
  • For invoicing and administration

 

ICO Registration

As a sole practitioner acting as a data controller, I maintain registration with the Information Commissioner’s Office (ICO), as recommended in Practitioner Guidance.
